This policy explains what personal data Tech App Innovation ("ShopKhata", "we") collects when you use the ShopKhata Android app, website and web app, why, and the choices you have. We follow India's Digital Personal Data Protection Act, 2023 ("DPDP Act") and the Information Technology Act, 2000 and its rules. For your own account data we are the Data Fiduciary. For the data you keep about your customers, suppliers and staff, you decide what goes in and why, and we process it on your behalf.

The short version#

  • Your shop's data (khata, bills, items, customers, staff) is yours. We never sell it, and we don't use it to advertise to your customers.
  • Your data is stored on servers in India.
  • We never see or store your card number, CVV, bank password or UPI PIN.
  • Backups to Google Drive go to your own Drive, not ours.
  • You can export your data and delete your account at any time.

What we collect#

Your account: your name, email address, mobile number, password (stored only as a secure one-way hash), your language and your photo if you add one. If you choose to sign in with Google, we receive your name, email address and Google account ID from Google.

Your shops: shop name, type, address, state, city and pincode, phone numbers, logo, photos, GSTIN if you add it, your UPI ID if you add it, and your shop page's products, offers and settings.

Your books: khata entries (who owes what, payments, notes), bills, invoices and other documents, items and stock, purchases, suppliers, expenses, cash and bank balances, staff attendance and salary, and voice entries you speak into the app (turned into text by your phone's or browser's speech service; we keep only the text).

Details you enter about other people: your customers' and suppliers' names, mobile numbers, addresses, email addresses, GSTINs and amounts, and your staff members' details. Customers who order from your shop page or catalogue give their name, mobile number and, for delivery, address; these go to you.

Payments: which plan you bought, when, the amount, the currency and the order and payment references, and the payment status our payment partners (Razorpay, PayU, PhonePe, Cashfree, SabPaisa and PayPal) send us. Card, UPI and bank details are entered only with the payment partner; we never see or store your full card number, CVV or UPI PIN.

How you use ShopKhata: the features you use, errors, and device details (model, Android version, app version, a random install ID), so we can keep the service working and improve it.

Support: what you write to us and our replies.

Why we use it#

  • To run ShopKhata: your account, sign-in, syncing your books between your phone and the web, your shop page, posters and reports.
  • To send messages you ask for: bill and khata links, reminders and offers to your customers (by WhatsApp from your own device, or by SMS where your plan includes it), and sign-in codes.
  • To process your plan purchases and confirm payments with our payment partners.
  • To keep ShopKhata safe: preventing fraud, abuse and misuse of invite rewards.
  • To send you notifications about your shop (orders, bookings, payment notes) and, if you allow it, about new features. You can turn notifications off in your phone or browser settings.
  • To meet legal duties, such as tax records and lawful requests from authorities.

SMS and push notifications#

SMS is off by default. If it is switched on, we send sign-in codes and, on plans that include it, the khata reminders you choose to send, through an Indian SMS provider. Push notifications on your phone are sent through Google Firebase Cloud Messaging.

Cookies#

Our website and web app use cookies that are needed to keep you signed in, remember your shop, language and display choices, and keep requests secure. We don't use cookies to sell advertising to you, and we don't track you across other websites.

Who we share it with#

We share only what is needed, with:

  • service providers who host our servers in India, send SMS, email and push notifications, and store files, under contracts that let them use the data only for us;
  • our payment partners, to take payment for plans;
  • Google, if you sign in with Google or back up to your Google Drive;
  • your customers, only what you choose to share with them (a bill, a khata statement, a reminder, your shop page);
  • your staff, only what their role lets them see;
  • authorities, when Indian law requires it.

We never sell your data or your customers' data.

Google Drive backup#

If you turn on Drive backup in the app, ShopKhata saves a copy of your shop's data in a hidden app folder (the "appDataFolder") in your own Google Drive. ShopKhata can only see the files it created there; it cannot read any other file in your Drive. You can turn the backup off and remove ShopKhata's access in your Google account at any time.

Staff and team#

If you add staff to your shop, they sign in with their own accounts and see only what the role you give them allows. Records they add are marked with who added them. You can remove a staff member at any time; their access ends on their next action.

Where and how long we keep it#

Your data is stored on servers in India, encrypted in transit and protected by access controls.

  • Your account and shop data: while your account is open.
  • After you ask to delete your account: everything is deleted 30 days later (you can cancel within those 30 days by signing in again), and our backups are cleared within a further 90 days.
  • Payment and invoice records: for as long as tax law requires (usually 8 years).
  • Security logs: 180 days, as Indian law requires.

Your rights#

Under the DPDP Act you can ask to access, correct or erase your personal data, withdraw consent, raise a grievance, and name someone to act for you if you can't. Most of this you can do yourself in the app or web app: edit your profile, export your books, or delete your account. For anything else, write to [email protected].

If your customer or staff member asks about data you keep in ShopKhata, you can correct or delete their entries yourself; we'll help if you ask.

Children#

ShopKhata is for adults running a business or managing their own money. We don't knowingly collect data from children under 18.

Changes#

We'll post any change here and tell you in the app if it matters.
